Full Time Senior Receptionist

Rose Park Psychology is a well established private psychology practice located in Adelaide's Eastern suburbs. We offer psychology consultations to individuals, couples, and groups of all ages across a wide variety of presenting issues and concerns.

We are looking for an efficient, warm person to join our administrative team. We are a busy practice and are looking for a person who enjoys fast pace work and has a good work ethic. You will be joining a largely autonomous work group who work together constructively. We are an harmonious practice and are looking for someone who also works harmoniously with a minimum of conflict. 

The position would suit someone with previous experience in a reception or administrative role, particularly in an allied health setting. The suitable applicant will be expected to adapt to a variety of tasks, has proven experience in client engagement, and is self-motivated. The ability to work independently, as well as part of a team is essential. Maintaining good relationship with psychologists and other admin staff members is essential.

You will report to the practice owner. Following probation, the successful candidate will have the opportunity to be employed under a permanent full time salary, above the Allied Health award.

Key areas of responsibility include but are not limited to:

  • Answering the phone with excellent phone manner and communication skills. 
  • Engaging and allocating potential new clients to practitioners through a thorough intake process
  • Making bookings, ensuring all clients receive the highest level of professional customer service.
  • Reception/front desk duties, e.g replying to emails, using efax, record keeping, filing
  • Processing payments, invoices, and Medicare and Private Health claims
  • Familiarity and demonstrated compliance with relevant AHPRA regulations, as well APS' Standards of Professional Conduct and Ethical Practice
  • Creation and implementation of letters, templates and policies
  • Ensure environments are work ready, maintaining a clean, well-resourced, and friendly atmosphere for both clients and practitioners
  • Other duties as required

Essential Criteria

  • Available full time across Monday to Friday mornings (38 hours a week)
  • Must be a fast learner
  • Ability to take initiative and work independently as well as being an excellent team player
  • High level of organisational and administrative skills.
  • Attention to detail and a high level of accuracy
  • The ability to multi-task, work quickly and cope well under pressure with busy telephones and waiting room.
  • Dedicated and committed work attitude.
  • Excellent interpersonal and communication skills (written and verbal) with the ability to maintain a calm, sensitive, pleasant and respectful manner with a diverse range of people.
  • Experience with Front Desk or similar practice management software

Favourable Criteria:

  • Prior experience in a psychological or other health practice setting
  • Willingness to work some evenings or Saturdays if required
