About Department

The Research Directorate oversees research activity across St Vincent’s Hospital (Melbourne)(SVHM), including promoting and facilitating research, developing new research opportunities, providing research educational services and managing research governance.

The Research Valet Service is a professional service that provides facilitated HREC submission, governance and study management for researchers and companies conducting clinical trials in Australia. The Research Valet Service links with industry partners including Contract Research Organisations, global pharma and national and international start-ups wishing to conduct clinical research in Australia.

About the Role

This position is responsible for preparation of documents for HREC submission and ongoing study management, and liaison with the internal and external researchers and companies conducting and/or managing the clinical trials in Australia. The focus of this role is to work with the Research Valet Business Manager and provide professional services by ensuring timely and efficient processing of enquiries, submissions and associated documentation for each study.

Duties

  • Preparing HREC submission and governance documents for Research Valet Service clients under the direction of and in consultation with the Research Valet Business Manager

  • Drafting and circulating correspondence relating to clinical trials managed by the Research Valet Service

  • Providing expert advice on the submission, responses and progress of clinical trials managed by the Research Valet Service

  • Liaising with Research Valet Service clients promoting good relationships and rapid response times

  • Assisting in ensuring researcher compliance in relation to the submission of annual reports for studies managed by the Research Valet Service


Qualifications, Skills and Experience

  • A degree in science, social science or biomedical related discipline or relevant experience

  • Previous experience in a research ethics administration role

About the Role

The Administrative Assistant position is responsible for providing administrative assistance to the Research Governance Unit, by accepting responsibility for administrative tasks including reception duties, processing mail, ordering stationary, managing the department e-mail accounts and website, managing the accounts receivable and accounts payable processes (including invoicing), assisting with processing Serious Adverse Event’s, and providing assistance with any other administrative tasks as required.

The classification for this position will be a HS1 ($58,442.80 base salary per annum).


Duties

  • Receive and check HREC and LRR applications and enter application details as required on databases

  • Provide administrative support for the Research Directorate, including database management and website maintenance

  • The incumbent will have the responsibility of managing accounts payable, petty cash, and accounts receivable

  • Maintain efficient record keeping systems

  • Be the initial contact point and provide basic information to researchers seeking advice regarding human research ethics, governance requirements, and submission of applications

Qualifications, Skills and Experience

  • Experience with reception duties

  • Proven ability to work in a team in a very busy and dynamic environment

  • Excellent written, analytical and report writing skills

  • Experience keeping data bases, website and filing systems accurate and up-to-date

  • Knowledge of MS Word and Excel, experience with database systems, such as MS Access and on-line communication packages
