The Opportunity

We are looking for a Personal Assistant to support three Senior Executives in our People & Culture team. We are looking for organised, passionate and detail-oriented candidates who will provide high-quality, timely, professional and practical administrative support in a fast-paced and complex work environment.



Key responsibilities

  • Proactive diary and calendar management, including negotiating and scheduling meetings
  • Acting as a point of contact for the Senior Executives - screening calls, emails and responding to urgent enquiries on their behalf including follow up with relevant team members and other business units
  • Building effective relationships with senior stakeholders across the Medibank Group, liaising with the Group Executive and senior managers and building relationships with external stakeholders and other Pas / EAs within the business
  • Developing, updating and maintaining administrative systems and documentation, including expense management, leave requests and job approvals
  • Providing team support, including the planning of team events and meetings and assisting with on-boarding and offboarding
  • Co-ordinating and consolidating monthly and ad hoc reports to the Board, committees and leadership teams, as required



About you

To succeed in this role, you will ideally have demonstrated experience working as a Personal Assistant supporting Senior Executives in large corporate organisations. Your approach to work is proactive, organised, service and delivery focused, and you thrive in a fast-paced environment.

You have a one team mindset and enjoy working collaboratively across teams.

You will also have:

  • Excellent word processing skills, including familiarity with track changes functionality, use of automatic numbering and cross-referencing, and formatting
  • Excellent communication skills and you are confident in your ability to manage competing priorities and people.
  • Strong capability in the use of Excel, Outlook and PowerPoint
  • Capacity and willingness to adopt and use new technology/systems/processes
