JOB DESCRIPTION

You are crucial in supporting the Clinic Manager in helping to ensure our clients, families and therapists receive an outstanding experience. The role of the Receptionist encompasses the responsibilities listed below.

Tasks & Expectations

  • Creating wow experiences for our families and referrers whilst completing the day-to-day tasks that keep us all running smoothly.

  • Greeting clients aby name and parents by name within 5 seconds of them entering the clinic.

  • Answering the phone promptly and in a friendly manner

  • Completing thorough in take forms for all new enquiries and placing them on our waitlist

  • Ensuring the waitlist is monitored daily and updated continuously.

  • Contact waitlist when available assessment and therapy positions become available.

  • Maintain waitlist assessment % at monthly CEI target completion rate.

  • Keep waitlist number below monthly CEI target at all times.

  • Communication Emails – replying to clients and other email enquiries on the same day with 100% grammatical and spelling accuracy.

  • Making and rescheduling appointments for our therapists using our practice management system (training provided)

  • Your tasks are scheduled in our task management system (training provided) and you will record completion of all tasks – this helps you manage your workload.

  • Booking assessments for new clients using our intake process (training and scripts provided)

  • Training new team members when they start at North Shore Speech Therapy so that they understand what you do, and the Admin processes they need to be aware of (and follow). This is a task shared with the Clinic Manager and other Admin team members.

  • Assist with organising school holiday groups, pre-school screenings, workshops and other events as requested.

  • Supporting the Clinic Manager as required with communications (phone calls, emails) to clients and their families, therapists, schools, and other 3rd parties.

  • Provide clinic-related information to the Clinic Manager if it will assist with the smooth running of the clinics, and improve client, family and therapist experience at North Shore Speech Therapy
