Job description

Senior Administrator / Practice Manager

An established surgical specialist is looking to employ a dynamic, experienced and easy going Senior Administrator/Practice manager to manage a small team.

The suitable applicant should be warm, friendly and confident with patients. Super organised with an ability to continually re-prioritise is a must. Tech savvy is always a plus and willingness to help grow the practice.

This fast growing and dynamic practice is a multidisciplinary environment involving Specialists, Generalists and Allied Health as well as Nursing.

Key duties and responsibilities will include (but not be limited to):

  • Management of fast-pace environment to promote excellent patient care and experience in the private and public sector.
  • Handling patient inquiries including face to face and over the phone communication
  • Build and maintain professional relationships with all team members, external stakeholders, hospitals, referrals & allied health providers.
  • Coordinating patient appointments and ensuring the smooth running of patient clinics
  • Managing the support team with the preparation of surgery quotations, consent forms, surgery bookings and patient billing/receipting for both consultations and surgical procedures along with review and reporting of stock and inventory
  • Banking, reconciliations, and debt collections
  • Managing all new patient referrals in a timely manner and in conjunction with the front desk
  • Operational duties across the clinic, including clinical and management support to the Principal Surgeon and the coordination of the practice including developing, implementing, and utilising systems that support effective delivery.
  • Observe and advise on practice policies and procedures.
  • Day to day coordination of practice workflows

Skills and experience required for this position will include:

  • Proven ability to promote exceptional communication and a high level customer service experience
  • At least 5 years experience working within a similar role preferably for a surgical specialist practice or similar
  • Experience using Genie software, Eclipse and MS Teams
  • Demonstrated experience of people management
  • Self-motivated, ambitious and highly driven
  • Excellent written and oral communication skills
