About us


earLAB is an independent business based in Footscray, West of Melbourne focusing on Ear Hygiene & Hearing Protection. It was started in 2018 with a mission to promote awareness around taking better care of ears and hearing.


We are currently seeking a highly motivated, reliable and experienced Receptionist. We are looking for an exceptional "people person" with a sincere and enthusiastic desire to help others in a part-time position, as we are looking to grow in future it is possible that this will become a full-time position. 


About the Role


The Receptionist is the first point of interaction for our clients and a key role in ensuring great customer experience. This role works very closely with our specialists to ensure they have everything they need to be able to have successful appointment.

Duties and responsibilities


  • Greeting and directing all clients within the practice
  • Responding to emails and calls around client's enquiries and
  • Obtaining client demographic and verifying relevant consent forms
  • Obtaining necessary client information as needed
  • Ensuring the client management system is up to date and accurate
  • Manage orders from custom ear plug manufacturers including management of postage of needed material and documents to suppliers and delivery of the products to clients
  • Scanning pertinent information into the system
  • Scheduling any necessary appointments after completion of client visit.
  • Accepting payment and ensuring they are correctly recorded in client management system
  • Monitoring and reviewing client schedules for next office day appointments, follow up with the clients to ensure attendance
  • Identifying and resolving minor client billing complaints.
  • Assisting in ordering, receiving and stocking of office supplies.
  • Maintaining cleanliness of waiting room and reception area.
  • Assisting other staff as needed.
  • Other duties as assigned.


About you


The right person must be professional, friendly and hard working. Our chosen candidate will be mature and articulate, with the ability to multitask, prioritise and complete tasks efficiently. At least two years of prior Receptionist experience is a clinic.
