Administration-Reception position

CBT Professionals is a growing contemporary and progressive psychology practice with clinic locations currently in Nerang and Coomera. We are looking for well-organised, confident, and efficient administration staff to join our team and assist with the daily operations of our busy practices.

Casual administration/ reception position:

We are looking for a casual administration/reception person to work between 15 – 20 hours a week. We require shift coverage for Tuesdays through to Fridays during our longer trading hours, however, applicants with flexible availability from Mondays through to Saturdays will be held in high regard. The successful applicant will be flexible to cover evenings, occasional weekends and able to accept an increase of hours during periods of annual leave across both practices.

  • Providing a friendly face to clients upon arrival and during their time at CBT
  • Assisting with maintaining a full appointment diary for 30+ clinicians
  • Client and referral follow up and appointment setting
  • Ensure client meet Medicare requirements before their appointments
  • Processing payments and Medicare rebates, invoicing third parties
  • Multitasking and effectively managing daily responsibilities
  • Administering paperwork and questionnaires to new clients
  • Answering phone and email enquiries and converting to new bookings
  • Faxing, scanning, and reporting maintenance needs of the clinic
  • General clinic cleaning and adhering to OH&S practices

Selection criteria:

While on the job training is provided, previous experience in a high paced administration/ reception and sales are considered desirable. All candidates will need to demonstrate how they meet the following:

  • Strong customer service and sales skills with a “how can I help” attitude
  • Team player who can multi-task whilst working with a sense of urgency
  • Critical thinking and aptitude to effectively foresee potential issues
  • Ability to work autonomously and use initiative to complete set tasks in a timely manner
