Primary objective

To provide high level administrative support and coordination to manage the TB Unit bookings and waitlist, promoting effective

clinic utilisation and patient focused care. To ensure client are treated equitably within clinically appropriate time frames.

Key duties and responsibilities

1. Manage and prioritise the scheduling of patients for consultation with the nursing and medical staff.

2. Screen and prioritise incoming verbal and written communication and respond in an appropriate manner.

3. Manage patient information contained on the electronic wait list register and appointment schedule in accordance with all

relevant legislation (Information Act 2002 NT).

4. Arrange clinical appointments and advise patients of clinic details and requirements.

5. Coordinate Health Undertaking referrals from the Commonwealth of Australia and be the local Administrator of the internet

Porthole.

6. Generate scheduled clinic lists; ensure accurate data entry for any audits or for client care.

7. Manage dispatching of clinic letters.

8. Maintain data entry in Community Care Information System (CCIS) i.e. clinic letters & other relevant patient documents

9. Arrange travel bookings for staff, organise payment of minor purchases, use a corporate credit card and manage invoices in

EIMS.

10.Provide relief for other CDC Administration members. This includes data entry in the Notifiable Diseases System.

11.Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken

in order to ensure high quality, safe services and workplaces.

Selection criteria

Essential

1. High level skills in the use of information technology incorporating various computer software applications.

2. Knowledge of medical terminology.

3. Knowledge geography, travel infrastructure and support services for patients.

4. Highly developed skills in general office procedures, including the organisation of purchasing, staff travel, bookings associated

with outreach medical clinics, workshops, meetings and medical secretarial duties.

5. Hold a current NT driver’s licence or the ability to obtain.

Desirable

1. Knowledge and understanding of the operations of the department, hospital and public health environment and associated rural

and remote areas.
